Session Notes & Use of Third-Party Technology
Session Notes
During our sessions, I make notes for my own use. These help me remember relevant information, agreed actions, and previous discussions so that I can provide continuity and the best possible coaching service. I may use appropriate third-party technology, including AI-assisted or dictation tools, to help organise and consolidate my notes. The use of third-party technology for this purpose does not mean that the actual audio or video of our session is being recorded or transcribed. These tools are used for administrative assistance only. Any personal information and session notes will be handled in accordance with my Privacy Notice and applicable data-protection requirements.
Session Summary
You may request a written summary of your session if you would find it helpful. The summary will cover key points discussed rather than provide a verbatim transcript of the session. To prepare your session summary, I may use AI-assisted or dictation tools to help organise and consolidate my notes. I will review the summary before providing it to you. The use of AI-assisted or dictation tools does not replace my professional judgement.
Opting Out of Third-Party Technology
If you do not want third-party technology, including AI-assisted or dictation tools, to be used in connection with your notes, please let me know before your session. I will still make brief handwritten or manually typed prompt notes for my own use, as these help me maintain continuity and provide an effective coaching service. If you request a written session summary under this arrangement, I will need approximately 15 minutes to organise and prepare it manually. Therefore, for a one-hour appointment, this means approximately 45 minutes will be used for coaching and 15 minutes for preparing your written summary.
Session Recording
You may choose to have your online coaching sessions recorded for your own use, for example if a recording helps you revisit information discussed during the session, supports processing or memory, or is useful as an accessibility adjustment. Recording is entirely your choice. Sessions will not be recorded unless you have requested or agreed to this. Where a session is recorded, Zoom (the application I use for online sessions) will clearly indicate that recording is taking place.
If you have any questions about how I handle session notes or use third-party technology, please feel free to ask before your session.
